Helen Jeep Fest ideas for next year?

Figured I would start this as it is fresh on our minds and a couple of the organizers asked...

- Find a central event sponsor and hopefully a big enough area for everyone to gather and start from. (Zip Line place?)

- Include a small obstacle course like Jasper? IE. balance platform, rock crawl, mound crawl, etc.

- Try to secure more ride venues and seed groups further apart as to not have the logjam that occurred at Bell.

- Hopefully locals and businesses will see worth and can offer better discounts to local products, eateries, etc.


Not busting anything here. Great time and amazing job for first event. Kudos!!! Just looking for some suggestions to make it better for year 2 as they said they will start work immediately. Thanks again to all!!!

Thanks I appreciate the feedback. any thing we can improve logistaclly we will do our bests. and I agree with every point youve made. we already started working on this.

Not taking anything away from this weekend because it was awesome and my family, friends, and I had a blast. I would like to see more venders, similar to Jasper Fest, show up. All in all a great showing and LOVED Twisted Frame!!!

Next year we will have the vendors. Year ones are always low.

THAT being said. Jason at Krawl Off-Road was there and was a big part of the event. Send hi some business if you can

best thing to do is rope off an area. leave it up to people to bring tarps and stuff to lay their stuff on...

tables can get a little too difficult. if everything is laid in a field you'd be better off - it's easier to see everything.

and another recommendation - separate the models in different areas. so the sellers don't have to deal with the silly question "what model is this for"

On line registration and payment for the weekend. Then have an email reciept/window card.


As for the rides:

Register on line for your ride(s) no later than one week prior to the event.

Tally the Jeeps for each ride, then schedule them for Saturday and Sunday according to demand for each trail.

X2 on the in town obstacle course.

Pictures

Have an area set up (with rocks or something to pose on) for pictures in town. Then have them displayed, like on a cruise, for purchase.

It could just be the rock portion of the obstacle course and have some kind of background with something like Bigfoot (since he seems to be the inaugural mascot) peeking through some trees.

First I'd like to say that my brother in law and I had a great time, especially the climb up Bell Mountain!

Now, the biggest suggestion I have is using some kind of window sticker for the actual registration card, I ended up putting my card in the center console and pulling it out whenever I needed to to check into an event (like the bonfire), otherwise it would have just blown away and I was fresh out of tape.

It would also be nice to have a little more details, maybe even some pictures of what to expect on the individual trail rides, so the decision of which to choose is a little easier.

I do hope that the overwhelming response at this first year event will bring some more vendors next year.

My son and I had a great time. I brought along a few buddies that are both new to Jeeping. It was their first Jeep Fest and for one it was the first time his new jeep had gone offroad (he's only had it 2wks). We will all definitely be back next year.

I'd like to offer up some suggestions and support some of the already mentioned ideas.

1) Can we have both Trail Guides at the front and back of the lines? Due to CBs not reaching around some of the bends we lost a few Jeepers on the way out of Ride 4 from Dick's Creek. They got back to the road and the Jeep train was nowhere to be seen so they just headed back to Helen. Having a rear guard would help ensure nobody is left behind since the lead guide won't leave until hearing from the rear guard or in the event of a minor repair or stall the rear guide can then get people to the next ride if necessary.

2) Number the Jeeps once lined up. Sticky notes or pre-printed number stickers to number jeeps front to back and provide an order to stay in. This also helps with CB communications as we can identify by number when reporting issues or slow downs.

3) I agree with the previous comment regarding online signups prior to the event. This, combined with online registration for the event would speed up check-in and allow for more geeking out over everyones rigs outside

4) Vendors, Vendors, Vendors. Now that the fest has had an excellent start we need to get the word out to Vendors and have an area where they can setup a tent along with their shop rig to show it off. I chatted briefly with some of the Staff at the Closing ceremony on Sunday and they mentioned they have a huge room almost as big as the theatre that could host the rigs in a car-show setup so people could go there after registration and check out the vendor/sponsor rigs.

5) I love the swap meet idea too. The Zip-n-Time place seems like a great place for this.

6) I think someone already mentioned More Rides and spaced a bit further out. We were still turning 30 rigs around at the end of Dick's Creek when we had to hustle and get out because another 40 were on their way in. This made it quite interesting. I'd suggest taking Dick's Creek out of the rotation or trying to make sure there is a longer time gap between a group getting out of it before the next one enters. Having a trail guide on both ends of the train would also help this as everyone could just turn around and leave in reverse order instead of the Jeep Tetris we were playing for a bit around the mud pit at the end

Those are the main things that have popped into my head since leaving Helen on Sunday. If I think of any more I'll come add them to the discussion.

Given that JeepsonTrails started planning rides only 3 weeks out I think this was an incredibly successful first year Jeep Fest. You guys did an incredible job.

Thanks! Believe it or not, we actually did have people tailing the ends... but with how long some of the lines were, the CB's crapped out on the reach for some of those rides too. But yeah, definitely a lot to think about, and improve on for next year.

I had a tail gunner for every ride. Sorry they got seperated. My line got to the point going up and over tray and Charlie that I had two guys running radio relay.

Gotcha. I figured that was standard on most rides. I wonder what happened on the Dick's Creek exit then? There were 2 at least that I know got left behind. There might have been a mix up when we all had to split to the sides to let part of that new group in. For a little bit we were all parked in the creeks, side turns, and edges of the road to let the first batch of the next group through.

Not a big deal though and I'm definitely not bitching at you Stuff happens. It also falls onto us participants too. We were told to stop and alert the train if the jeep behind us falls out of sight and to slow down to wait. There were many times I would do that and see the train keep on moving out of sight ahead of us and times when I'd suddenly notice the jeep behind me not in sight. We all get in the zone sometimes and forget to look behind us.

Yeah even leading I've done that. Look in my mirror and been like huh. Wonder how far a head I am. Next year will be much different as far as the orginization of the rides

If you wanna drive then you need to be liscensed. The orv park we will be using next year may have a more stringent age req

Haha. Not gonna name drop until it's finalized. But we are working to get more venues to wheel and keep the majority off forest service roads next year

You may have to be 18 to sign the legal waiver for the event or have a parent sign for you. I'm not a lawyer so can't say for sure but do recall having to sign for my son who is a minor like you (not 18).
